At some point, while working for the University of Florida, you may be required to use the University letterhead and envelope templates. However, you may not know where to locate the most current letterhead and envelope files or if there are any rules for using them. This article will help you find the templates and teach you the best way to use them. 

Where are the UF Letterhead and Envelopes Located? 

You can find the letterhead on the UF/IFAS Branding site: https://branding.ifas.ufl.edu/stationery-and-forms/. Click on the “UF Letterhead Microsoft Word Doc” link, and it will download to your computer. You can also find the letterhead and the envelope templates on the UF Brand Center downloads page: https://brandcenter.ufl.edu/downloads/. Scroll down to “Stationery” and click on “Letterhead” and “Number 10 Envelope.” 

How do I use the Letterhead and Envelope? 

Now that you know where to find the letterhead, let’s discuss any guidelines the University has for using it.  

From the University: 

All university letterheads, envelopes, and business cards must be standardized to provide consistent institutional identity and reduce design and printing costs. UF stationery is intended to identify the communicator/bearer in terms of their relationship with the University and should only be used for official UF business purposes. 

The main reason for using the UF letterhead is to communicate official UF business. Do not include personal details. The information should be limited to unit name(s), address, and phone numbers. 

The envelope should also be clear of any personalized information. Putting information on the envelope is to provide a return address for responses. The information on the envelope should include the unit name(s) and address.
